- In RFP, click the Menu icon. Additional menu options display.
- Choose the Start New RFP option. The Create RFP screen displays.
- In the Create RFP screen, enter this information:
RFP Objectives
- Agency: Choose the agency that's running the campaign for which you're requesting proposals.
- Office: Choose the office location that is managing the RFP. For example, if your agency has offices in NYC and Chicago, you would choose the office (NYC or Chicago) that is managing this RFP.
- Client: Choose the name of the advertiser who is placing the ad. For example, if the advertisement is being run for the "The Best Workout Clubs," you would enter this information into the field.
- Product: Optionally, enter the name of the product that's being advertised. For example, if you're creating a campaign to advertise for The Best Face Wash through The Best Workout Clubs, you would enter "The Best Face Wash" into this field.
- RFP Name: Enter a descriptive name for your RFP. It's important to enter a name that's descriptive and easily recognizable to you and others. Additionally, using standard naming conventions across your agency may make information easier to find in the future. Here's an example campaign naming format: "Client - Product - Flight Dates."
- Budget: The budget for the full campaign and all associated costs displays here. Note that you cannot edit this value.
- Estimate(s): Choose the estimate you would like to associate with this RFP. The available estimates that you can enter into this field are managed in SBMS.
- Flight Dates: Enter the dates you would like the campaign to run. For example, if you want the campaign to run in June of 2019 and sellers should only include placements that are in this date range, you would enter June 1, 2019, through June 30, 2019, into these fields.
- Due Date: Enter the date by which sellers should have their proposal submitted to you for review.
- Buyer RFP Notes: Enter any notes that you would like to associate with this RFP.
RFP Detail
- Select Client Default: Choose from your list of pre-defined default clients (managed in the Settings). When you choose a default client, the settings for that client are automatically populated into the fields.
- Primary Demo: Enter a brief description of the demographic you would like to reach with this campaign. For example, if you want to reach females from ages 18-24, you could enter "W 18-24" into this field.
- Hiatus Periods: Enter any dates that you would not like your campaign to run. When you enter dates into this field, the seller should avoid proposing spots to run on these dates.
- Budget Notes: Enter any additional budget notes you would like to share with the sellers who will be responding to your RFP.
- Target Audience: Enter detailed information on the target audience you want to reach. These details could include things like qualitative demographic details, zip codes, countries, states, and other information about the audience you want to reach.
- Restrictions: Enter detailed information on any restrictions you have for this campaign. For example, if you want the campaign to run during a specific time frame, you would add that information into this field. Additionally, if you have preferences on what type of content your campaign runs during or alongside, you can add that information into this field.
- Submission Instructions: Enter information on the criteria you will use to choose the winning proposal. This information helps sellers create content that better meets your needs.
- Creative & Billing Requirements: Enter information on any creative or billing requirements that you have for the proposals that will be created.
- Other Notes: Enter any additional notes that you would like to share with the sellers who will be responding to your request for proposals.
Add Vendors
- Filter by Media: Choose the type of media your campaign includes. For example, if the campaign you're creating is an online media campaign, you would choose the "Online" option.
- Filter by Market: From this drop-down, choose the geographic market this advertiser operates in. For example, if the advertiser running this campaign only sells in the United States and the United Kingdom, you would choose the "USA" and "UK" options from this drop down. You can choose to search or browse the available options in this field.
- Vendor Selection: Add the vendor(s) you would like to receive your RFP for your campaign.
NOTE: If the vendor you want to add does not display in the Vendor Selection field, you can click Create New Vendor and create a new vendor.
- After you add vendors, the vendors are added into the vendor cells.
- For each vendor:
- Req #: This is a system-generated number that's assigned to each item to make tracking easier.
- External Vendor Name: Enter the name that is assigned to the vendor who will run the campaign. For example, if WLUK-FM will run the placement on their station, "WLUK-FM" would display in this field.
- SBMS Vendor: Enter the name that's assigned to the vendor who will run the campaign in SBMS.
- Market: Enter the geographic area where your campaign will run.
- Budget %: Enter the percentage of the RFP's overall budget that this vendor represents.
- Budget: Enter the amount of money the vendor will run.
- Terms & Conditions: Enter any text that needs to be associated with the ad placement.
- Status: This information represents where the placement is in the proposal process. This information is automatically updated.
- Attachments: Add any files you would like associated with the campaign.
- Comments: Enter any free-form text you would like associated with the ad placement.
- Status Date: The date the status was last updated. If you click in this field, a dialog displays with a full change log for the placement statuses.
- Click the Save button. Your RFP is saved.
